The Role

The Executive Assistant for the Corporate Events and Sales Enablement team is an integral administrative position supporting the Events team as well as the Consultant Relations team.

 

Responsibilities include coordinating, scheduling, and planning detailed speaker prep schedules with internal and external contacts for three concurrent conferences, tracking event budgets, as well as scheduling and logistical coordination and planning of events with internal and executive-level external contacts.

 

Responsibilities will also include managing the day-to-day business activities for one Executive, including providing strategic management of busy and complex schedules, coordinating meetings with internal and external contacts, preparing and tracking expenses and arranging travel. This individual will autonomously manage and coordinate scheduling and event logistics to ensure our company’s facilitation of and participation in the events runs smoothly.

 

The Candidate

Consortium Health Plans seeks a versatile high performer who can work collaboratively with Consortium staff, healthcare consultants and member Plan representatives to execute on the preparation and calendar efforts associated with our consultant relations events and corporate events.

 

This individual will work closely with internal and external stakeholders, including executive level staff, professional presenters and host location staff before and during the events. The candidate must have strong project management skills, excellent organization and enjoy collaborating on multiple workstreams simultaneously.

 

Essential Responsibilities (must be performed with or without reasonable accommodation)

  •          Event preparation for 3 corporate events and multiple consultant related events. Preparation includes working with the team creating event agenda, responding to inquiries, sending thank you correspondence, managing budgets, managing project timelines and maintaining event records documentation
  •          Managing executive’s complex calendar and meeting schedules with other executives and stakeholders
  •          Scheduling team-related events and meetings
  •          Onsite event operational and administrative support
  •          Supporting team on administrative responsibilities, as needed
  •           Proactively consider needs related to calendar and travel
  •          Travel arrangements involving multiple executives
  •          Process expense reimbursements
  •          Comply with all information privacy and security policies as specified in the “Consortium Health Plans Information Privacy & Security Policy Manual”
  •          Be available occasionally outside of regular office hours to support Executives in various time zones

 

  • Qualifications and Skills

  •          Minimum 3 years’ experience supporting senior leaders
  •          Administrative events support, preferably within the healthcare industry
  •          Self-starter with a high degree of energy and careful attention to detail. Strong sense of initiative and a process-improvement mindset.
  •          Solid working experience with project management principles and tools
  •          Proficiency with PowerPoint, Excel, Project Management tools (e.g. MS Project, SmartSheets) knowledge of expense reporting system, Concur helpful
  •          Ability to execute and exhibit good judgment with a high level of professionalism
  •          Superb organizational and time-management skills
  •          A demonstrated ability to plan effectively, but the flexibility to handle the unexpected
  •          Budget management experience on complex projects or events
  •          High School diploma or equivalent required

Compensation and Benefits

  •          We offer a discretionary performance bonus program
  •         Pay range for this (non-exempt hourly) position is $60,000 - $70,000, calculated on an annual basis. Pay is based on several factors including the labor market, education, work experience, skill level and certifications

 

Physical Demands

  •          Ability to travel locally and nationally (<20% per year) required
  •          Primarily sedentary. Position requires extensive phone and computer work
